Job Description and Requirements

Executive Secretary

  • Minimum Qualifications: Degree/Post Graduation in the related field.
  • Minimum Experience: 5 - 8 years post qualification experience in a structured progressive Corporate environment as the Executive Secretary for Senior positions like Directors, Presidents, VPs, or General Managers.
  • Salary AED 7000/- (all inclusive, including accommodation allowance) Shared Transportation will be provided if staying in Ajman on specified routes.
  • Location Hamriyah Free Zone Office Sharjah.

Any nationality acceptable, (Filipinos excluded) Gender ONLY female, Age limit 30 to 40. (less than 30 not acceptable) 
Job-Specific Skills: Personnel Administration, Document control, Record maintenance.
Generic Skills:

  • Attention to detail and documentation.
  • Good PC skills, Effective Oral & written communication skills and Team building skills.
  • Exposure to MS Office packages Excel, Word, PowerPoint


KEY RESPONSIBILITIES:

  • Provides administrative support to the Board of Director:
  • Answers and screens phone calls manages the Board of Director's mail.
  • Schedules and coordinates appointments, meetings and events, including registration and travel arrangements as necessary.
  • Transcribes drafts, proofreads and revises correspondence, memos, flyers, agendas, minutes, resolutions and policies.
  • Assists in the completion of various forms, notices, press releases and other communications, which may require posting and/or publication.
  • Prepares for monthly and special Board meetings:
  • Completes the Board of Directors report, which requires input from all departments and is presented to the Board of Directors.
  • Provides administrative support for the completion of documentation of Board agenda items.
  • Provides transcription and dictation of Board meeting minutes
  • Comply with QHSE requirement as applicable.
  • Other assignments as and when instructed by the Senior Management.
