Manager -Business Support

Job Description and Requirements

We are currently seeking an experienced Business Support Manager to join our Catering Services Team.

This position will lead the administrative functions of the business. The post holder will be the point of contact for staff HR issues and General Admin Duties. The role will also act as Systems Administrator for specialized Catering Management software about to be rolled out.

Key Responsibilities

  1. Office Management
  • Cooperate with office staff to maintain proper interaction and a friendly environment within the office; Helping every member of the team to ensure the best service is achieved.
  • Manage the front desk with receptionist directly reporting into BS Manager
  • Monitor and manage annual leave requirements for the team (HQ & Site based) to ensure that appropriate relievers are available.

2.Administration and Business support

  • maintain and keep up to date documentation and Oracle records;
  • Process all requests received through various channels, ensure all requests are logged, monitored and followed up accordingly;
  • Raising invoices, organization of payments to suppliers, tagging assets, raising PRs, creation of monthly reports, raising PQRs, expense claim forms, processing petty cash and raise cash requests;
  • Manage tools & equipment inventory list, raise a request and liaise with ICT for any requirements, coordination with site admins for any issues
  • maintain and keep up to date documentation and Oracle records;
  • Provide ad-hoc site-based admin support when relief is required.;
  • Answer all queries received by Operations teams and site staff, ensure they are all recorded, and actions needed are taken;
  • Update and chase delegated tasks to ensure progress to deadlines
  • Ensure all databases and log sheets are updated accurately on the set timeframe and the necessary reports are sent on time.
  • Act as Systems administrator for specialized software employed by the business.

 3.HR related support

  • Ensure that all HR related issues raised by the employees are either resolved or escalated to the HR team for discussion and resolution. Ensure employee satisfaction
  • Resource planning for the office staff, communicating with Project Managers, Account Managers, and Operations team to establish resource requirements, and escalate to General Manager appropriately
  • Raise VRFs when required;
  • Time and Attendance Management.

4.Analytics & Reporting

  • Analyses trends and metrics in partnership with operations teams to develop and enhance solutions, processes, and programs that address current problems and to avoid future ones.
  • Measuring, validating, and testing of the effectiveness of metrics that are applied by the business to assess and drive productivity optimization.
  • Developing programs and methods that aid in the achievement of measurable improvements in metric results and which avail actionable people management solutions and strategies.
  • Responsible for Management Reporting, the collation of reports for MPR and Control Rooms
  • Regular partnering with different stakeholders across the organization including GPRA, FP& A and other business units including KPI management and CII Log Management,


  • Education Qualification:
  • Diploma in Business Administration
  • Work Experience: Minimum of 5 years’ experience in the admin role, MS Office expert and UAE Driving License


  • Knowledge and experience of food products and processes in a facility with extensive in-house production.
