Organizational Context and Scope
Under the overall supervision of Chief of Mission and Emergency Coordinator and the direct
supervision of the Senior Operations Officer the incumbent will be responsible for deliverables
outlined in the following sections.


Core Functions / Responsibilities:

  • Under the established SOPs and supervision, maintain close liaison with operational focal points in Amman and field to ensure timely exchange of information and facilitation of transportation requests.
  • Develop and execute itinerary plans including any administrative arrangements required to facilitate movements following internal protocols and administrative instructions
  • Record and maintain any data required for service delivery settlements by the procurement and finance units, in coordination with operations staff in Amman.
  • Input/collect beneficiary data for movements and update relevant databases for reporting and operational analysis.
  • Troubleshoot and assist in consultation with the supervisor on problems relating to movements.
  • Always ensure passenger and asset safety adhering to internal protocols and road regulations
  •  Assist/support passengers including people with special needs during movements
  •  Coordinate and support fleet staff for assignments so to have an efficient roster Ensure any incidents are recorded and reported to the manager and as per IOM policy and procedures.
  • Prepare payment requests in line with terms of contracts for service providers
  • Prepare purchase requests and ensure the availability of necessary supplies for vehicles, in coordination with responsible field staff.
  • Consolidate documentation for new service provider contracts and contract extensions, in line with standard IOM procedures.
  • Request operational advances to ensure a minimum amount of petty cash is available to field staff to cover costs beyond service agreements and settle any expenses on a periodic basis as per standard financial procedures
  •  Liaise with Finance and Procurement Units in Amman to follow up on service contract renewals, invoices, release of payments to service providers, and other relevant tasks.
  • Complete any other tasks assigned by the supervisor.

Required Qualifications and Experience
Education & Experience

  • Completed university degree from an accredited academic institution Social Sciences, Business Administration, Development or related field with three years of relevant professional experience OR High school with Five years of relevant professional experience.

Broad sector knowledge and/or field experience in the areas of coordination, shelter, disaster risk
reduction and management, humanitarian reform.

Languages

  • Fluency in English language and Arabic language is required.
